Still Copying Invoice PDFs Into Sheets? Extract First

Someone is still opening an invoice PDF and typing vendor, date, amount, and line items into a spreadsheet. That is the keying step.

Extract those fields first so you stop retyping every page. You still review exceptions, then import. This is not a general PDF table extractor and not certified accounting output.

What copying PDF fields actually is

A PDF was built to be printed and read. The usual path is:

  1. Open the invoice PDF
  2. Read vendor, dates, amounts, and line items
  3. Type those fields into a sheet or the books
  4. Check totals against the page
  5. Import or paste into the next system

The slow, error-prone part is step 3: reading the page and keying the cells. Approval, PO match, and payment stay a person even after you extract.

Other PDFs (contracts, bank statements, generic receipts, report tables) look like the same job. They are not the same tool. Invoice Processor extracts invoice fields. It does not parse a contract or reconcile a statement.

What extract-first changes

Invoice Processor takes a PDF, PNG, or JPEG and returns structured fields:

  • Vendor name, plus address, phone, email, or tax ID when present
  • Invoice number, date, due date, and PO number when present
  • Line items (description, quantity, unit price, amount)
  • Subtotal, tax, discount, shipping, and total
  • Payment terms when they are on the page

You also get a confidence score. Treat a low-confidence row as a review item, not a booked entry. Export as JSON, CSV, QuickBooks, or Xero format after you check the page.

Guest runs are free (5/day). Signed-in orgs spend 3 credits per document.

What it does not do:

  • Pull arbitrary tables from any PDF
  • Extract contract clauses
  • Reconcile bank-statement lines
  • Categorize receipts as expenses
  • Approve the bill or match a PO
  • Post to the ledger for you

If the PDF has the wrong tax or total, extraction copies that number. You still open the original.

Where other PDF jobs are not live

Contracts. Parties, termination clauses, and obligations are a different extract. Contract Analyzer is not a live tool. Do not upload a contract PDF here expecting clause review.

Bank statements. Transaction date, description, amount, and running balance are not invoice fields. Invoice Processor does not reconcile a statement.

Generic receipts and expense category. A crumpled receipt may share a merchant, date, and amount with an invoice. Expense Categorizer is not live. You still assign the GL account or cost center yourself.

Report tables. Annual reports, filings, and chart-as-numbers PDFs are not invoices. There is no general table extractor on AgentLeverage.

If the file is not an invoice, do not expect those fields.

Where you still review

Totals and tax. Check the extract against the page. A confident row can still copy a vendor's wrong number.

Odd layouts. Custom tables and creative invoices can mis-map a line. Read the line items.

Poor scans and angled photos. Glare and crumpled pages need more review than a clean digital PDF.

Handwritten invoices. Faint or messy handwriting needs a closer look.

PO match, approval, and import. Extraction feeds the fields. You still match the PO, approve, and import.

Categorization. Which account it belongs in is still yours.

How to try it on a real invoice PDF

  1. Pick one vendor invoice you already pay
  2. Upload the PDF or image to Invoice Processor
  3. Compare vendor, line items, tax, and total to the original
  4. Export JSON, CSV, QuickBooks, or Xero if the fields look right
  5. Keep the original next to the export
  6. Decide whether extract-plus-review beats typing those same cells
