Still Keying Invoice Line Items? Extract First

Someone is still typing vendor, invoice number, dates, line items, and tax off a PDF into a spreadsheet or the books. That is invoice data extraction by hand.
Extract those fields first so you stop rekeying. You still review exceptions and check the totals. This is not certified accounting output.
What invoice data extraction actually does
When you upload an invoice PDF or image, invoice data extraction maps the page to structured fields:
- Document parsing: the PDF or image is read as text (or OCR if it is a scan)
- Layout analysis: header, line items, and totals are located on the page
- Field extraction: vendor, invoice number, date, line items, tax, and total are pulled out
- Structured output: those fields come back as JSON, CSV, or an accounting-format export
You upload and get structured fields. You still open the original and check the amounts.
What gets extracted
Invoice Processor returns the fields that are on the page:
Header fields:
- Vendor name, plus address, phone, email, or tax ID when present
- Invoice number
- Invoice date and due date
- Purchase order number (when present)
- Payment terms
Line items:
- Description
- Quantity
- Unit price
- Line amount
Totals:
- Subtotal
- Tax amount and tax rate
- Discounts and shipping
- Total amount due
- Currency
The tool also returns a confidence score. Treat a low-confidence row as a review item, not a booked entry.
How machine learning improves invoice data extraction
Machine learning (the models behind invoice data extraction) maps layout and text to fields. That is the improvement over keying every cell: you upload and get vendor, line items, tax, and totals as structured data.
ML does not verify the vendor's totals against a purchase order. If the PDF has the wrong tax or line total, extraction copies the wrong number. You still check the original and match it to the PO yourself.
What AI extraction does not do
It does not verify the bill. If a vendor sends wrong amounts, the tool extracts those amounts. Validation against POs and contracts is a separate step.
It does not catch fraud. Extraction identifies what is on the invoice. Known-vendor lists, amount thresholds, and duplicate checks are still yours.
It does not post to the books. You get structured data. Import is a CSV or JSON export, or a paste into your accounting system.
It struggles with very poor scans. Crumpled receipts, angled photos, and faint handwriting need more review. Clean digital PDFs are the easier case.
It is not certified accounting output. Review exceptions. Check totals. Do not treat the JSON as a filed return or an audit-ready ledger.
Where extraction beats rekeying
You do not build a template per vendor. Different layouts still go through the same upload.
You stop typing every line item and tax field. The remaining work is review: exceptions, totals, and whether the bill matches what you ordered.
How to extract invoice fields
Option 1: Use Invoice Processor
Upload a PDF or image (PNG or JPEG) to Invoice Processor. Guest runs are free (5/day). Signed-in orgs spend 3 credits per document.
You get structured fields (vendor, dates, line items, tax, totals) plus JSON, CSV, QuickBooks, or Xero export. You still review before you book.
Best when you want extract-first without an AP implementation project.
Option 2: Use your accounting platform
QuickBooks, Xero, and FreshBooks have built-in or marketplace extraction. Convenient when data should land in those fields.
Trade-off: you stay on that platform's extractor and import path.
Option 3: Build a custom pipeline
If you already have engineering and a document stack, you can call a vision model yourself. That is more control and more work. It is not required to try extract-first on a handful of PDFs.
A practical workflow
1. Collection. Invoices arrive by email, inbox, or portal.
2. Extraction. Upload to Invoice Processor; get structured JSON or CSV.
3. Review. Check vendor, line items, tax, and total against the PDF.
4. Exceptions. Anything that does not match the page, or is missing a PO match, stays in a review pile.
5. Import. Export JSON, CSV, QuickBooks, or Xero format and book the reviewed rows.
6. Keep the original. Store the PDF next to the export.
This replaces keying for the fields that came through cleanly. It does not replace review.
Getting started
- Collect a few invoices from vendors you actually pay
- Upload one to Invoice Processor
- Compare vendor, line items, tax, and total to the PDF
- Note anything that needs a second look
- Decide whether extract-plus-review beats typing those same fields

Frequently asked questions
What is invoice data extraction?
Invoice data extraction pulls vendor, dates, line items, tax, and totals off a PDF or image into structured fields. You still review exceptions and check the amounts.
How does machine learning improve invoice data extraction?
ML maps the layout to fields so you stop keying every cell. It does not verify vendor totals against a PO. A wrong tax line on the PDF stays a wrong tax line in the export.
Does AI extract line items and tax?
Yes, when they are on the page. Invoice Processor returns line-item description, quantity, unit price, and amount, plus tax amount and tax rate when present. You still check those figures against the original.
Can I try Invoice Processor without an account?
Yes. Guest runs are free (5/day). Upload a PDF, PNG, or JPEG. Sign in if you want the job saved.
Is this certified accounting output?
No. This is a working extract you review. It is not a certified ledger, tax filing, or audit record.
Does extraction replace matching invoices to purchase orders?
No. Extraction helps keying. Matching totals and line items to a PO is still your check.
