Still Keying Invoices Into AP? Automate Entry First

Someone is still opening the invoice PDF and typing vendor, date, amount, and line items into AP. That is the keying step.
Extract those fields first so you stop retyping every page. You still approve, match POs, and handle exceptions. This is not a full AP replacement and not certified accounting output.
What manual AP entry actually is
Manual invoice processing is more than one paste. A typical path looks like this:
- Receive the invoice (email, mail, portal)
- Route it for approval
- Match it against a purchase order when you have one
- Type vendor, dates, amounts, and line items into the books
- Check totals and tax against the page
- File the original
- Pay
The slow, error-prone part is step 4: reading the PDF and keying the fields. The rest (approval, PO match, payment) stays a person even after you extract.
What extract-first changes
Invoice Processor takes a PDF, PNG, or JPEG and returns structured fields:
- Vendor name, plus address, phone, email, or tax ID when present
- Invoice number, date, due date, and PO number when present
- Line items (description, quantity, unit price, amount)
- Subtotal, tax, discount, shipping, and total
- Payment terms when they are on the page
You also get a confidence score. Treat a low-confidence row as a review item, not a booked entry. Export as JSON, CSV, QuickBooks, or Xero format after you check the page.
Guest runs are free (5/day). Signed-in orgs spend 3 credits per document.
What it does not do:
- Approve the bill
- Match line items to a PO
- Catch a vendor that billed the wrong amount
- Post to the ledger for you
- Replace exceptions handling
If the PDF has the wrong tax or total, extraction copies that number. You still open the original.
If the job is the field list and the review loop, not this side-by-side: how invoice data extraction works, and what you still check
Side-by-side: keying vs extract-first
| Step | Manual keying | Extract-first | |------|---------------|---------------| | Receive | Email, mail, or portal | Same | | Enter fields | Type vendor, date, amount, and line items | Upload the PDF or image; get those fields structured | | Review | Check what you typed against the page | Check the extract against the page | | Match PO | You | You | | Approve | You | You | | Pay and file | You | You |
The comparison is the keying step, not the whole AP cycle. Extraction does not shorten approval queues or payment terms on its own.
Where extraction is easier
Clean digital PDFs. Vendor invoices that were generated as PDFs are the easier case.
Recurring layouts. The same vendor format week after week still goes through one upload. You do not build a template per vendor.
Line-item tables that are actually on the page. Description, quantity, unit price, and amount come back as rows when the table is readable.
None of that is a measured accuracy rate. It is the job the tool is built for. You still check totals.
Where you still review
Handwritten invoices. Faint or messy handwriting needs a closer look. Use the extract as a first pass, not a booked entry.
Odd layouts. Custom tables and creative invoices can mis-map a line. Read the line items against the page.
Poor scans and angled photos. Crumpled pages and glare need more review than a clean digital PDF.
Three-way matching. PO match and approval are still your checks. Extraction feeds the fields; it does not decide whether the bill is right.
Categorization. The tool extracts what is on the page. Which GL account or cost center it belongs in is still yours. Expense Categorizer is not a live tool.
How to try it on a real invoice
You do not need to replace the AP system to test extract-first.
- Pick one vendor invoice you already pay
- Upload the PDF or image to Invoice Processor
- Compare vendor, line items, tax, and total to the original
- Export JSON, CSV, QuickBooks, or Xero if the fields look right
- Keep the original next to the export
- Decide whether extract-plus-review beats typing those same fields
Guest runs are free (5/day). No account for a trial upload. Sign in if you want the job kept in a workspace.
Frequently asked questions
Does this replace accounts payable?
No. It replaces keying vendor, date, amount, and line items. You still approve, match POs, and pay.
Can I try it without an account?
Yes. Guest runs are free (5/day). Upload a PDF, PNG, or JPEG. Sign in if you want the job saved.
What does a signed-in run cost?
3 credits per document. Start with 30 free credits. Pack credits never expire. Unused included credits do not carry forward.
Is this certified accounting output?
No. This is a working extract you review. It is not a certified ledger, tax filing, or audit record.
Does extraction match invoices to purchase orders?
No. A PO number on the page comes back as a field when it is present. Matching totals and lines to the PO is still your check.
Need vendor, date, amount, and line items off an invoice PDF? Upload one. Guest runs are free (5/day). You still approve, match POs, and handle exceptions.
