Still Categorizing Expense CSVs by Hand?
AgentLeverage Team
3/19/2026
You export last month's card file, open the CSV, and start categorizing each row by hand: travel, software, meals, cost center. Then you hunt the ones that don't make sense.
That job is real. AgentLeverage does not ship a live Expense Categorizer that maps those rows to your chart of accounts.
If the source is a receipt or invoice PDF or image, extract vendor, date, amount, and line items first. Invoice Processor guest runs are free (5/day). You still review the fields, assign the category in your books, and export.
If the pain is hunting receipts rather than walking a card CSV: how extract-first expense reporting works on a receipt or invoice
Card CSV vs receipt or invoice
Two different jobs get sold as "AI expense reports":
| Source | What you want | Live on AgentLeverage | | --- | --- | --- | | Card or bank CSV | Categories on each row, anomaly flags, rollups | No. Expense Categorizer is not a live tool. You still categorize those rows yourself. | | Receipt or invoice PDF or image | Vendor, date, amount, line items | Yes. Invoice Processor extracts those fields. You still review and book them. |
If you only have a card export, keep doing the category work in your spreadsheet or accounting tool. Do not expect an upload-and-categorize run here.
What extract-first actually does
Invoice Processor reads a PDF or image (PNG or JPEG) and returns structured fields:
- Vendor — name, plus address, phone, email, or tax ID when they're on the page
- Document metadata — number, date, due date, purchase order number when present
- Line items — description, quantity, unit price, and amount
- Totals — subtotal, tax, discount, shipping, total, and currency
- Export — JSON, CSV, QuickBooks, or Xero format
The tool does not decide whether a charge is meals or software. It does not reconcile a card CSV. It does not flag duplicates across a statement.
What Expense Categorizer is not
Expense Categorizer is not a live AgentLeverage tool. There is no guest CTA for it.
A generic categorizer, when you use one elsewhere, typically parses a CSV, maps merchant names to categories, and returns a file you still review. We do not ship that product today.
Step-by-step: process the expense report you have
1. Separate the pile
Put receipts and invoice PDFs in one folder. Keep the card CSV in your books or a sheet. Mixing those jobs is how people buy the wrong tool.
2. Extract each receipt or invoice
For each PDF or photo:
- Upload it to Invoice Processor
- Read back vendor, date, amount, line items, and totals
- Spot-check the total against the original
- Export JSON, CSV, QuickBooks, or Xero format
- Book the reviewed row. You still assign the category.
Guest runs are free and rate-limited (5/day). Guest results expire after 7 days. Sign in if you want the job kept until you delete it.
3. Review before you book
Extraction copies what's on the page. If the vendor printed the wrong total, the tool extracts the wrong total. Check the amount and the vendor name.
Faded thermal paper, cropped photos, and handwritten tips are the usual misses. You still open the original.
4. Categorize the card CSV yourself
If your source of truth is the statement export, you still walk the rows. Look for:
- Merchant names that don't match the receipt
- Personal charges on a corporate card
- Missing receipts for amounts you cannot explain
Invoice Processor will not ingest that CSV.
5. Build the report from reviewed rows
Once fields are in a sheet or your books, the report is grouping and filtering:
- Monthly spend by vendor
- A tax-time packet of originals plus extracted totals
- A per-project list if you tag the export after review
What you still review
- Totals against the receipt or invoice
- Vendor names that OCR or extraction may have truncated
- The category you assign after extract
- Every card-CSV row you have not matched to a document
Do not treat extracted fields as booked until you have checked them.
What to check before you pick a tool
Does it take the file you have? A receipt photo is not a card CSV. Ask for the input type first.
Do you still review? Extraction fails on messy merchant names and faded thermal paper. You still check totals.
Can you export? JSON or CSV you can import is the minimum. Invoice Processor also offers QuickBooks and Xero format.
What happens to the file? We do not train on your data. Signed-in jobs stay until you delete them. Guest results expire after 7 days.
